Solutions to common issues with password-only (green button) sign-in

Password-only (native or green button login) access to MYOB Acumatica is used for first user sign-in, API connection, OData feeds and Report Designer and it is managed by your system administrator via the Users form in MYOB Acumatica

About password-only login

Once you have signed up for secure authentication (purple button) for MYOB Acumatica, you should not use the password-only (green button) password again. However, the password-only (native or green button) sign-in is relevant:
  • the first time you sign in as a new user;
  • after your secure authentication profile has been reset / cleared (e.g. lost phone);
  • for API users (including EzyCollect);
  • for OData feeds (e.g. Velixo Reports);
  • Device Hub; and
  • using Report Designer (to create and update printed forms and reports).

Full users with the administrator role assigned can assist you with green button (password-only) sign-in issues.  In addition, your green button password determines which Tenant you can use from the drop-down menu if you wish to switch between Tenants.

Passwords must meet complexity requirements
From the 2023.1.3 release of MYOB Acumatica onwards, the 'Password Must Meet Complexity Requirements' checkbox is now automatically selected. Passwords must be at least 14 characters long and contain at least one upper-case letter (A to Z), one lower-case letter (a to z), and one number (0 to 9) or symbol (e.g., !#$%^).
Forcing users to change passwords
Your password security settings are a decision for your system administrator. By default, user passwords now expire every 180 days. When a user's password expires, they’ll need to set a new one.
The 'Force User to Change Password Every' field lets system administrators change how often users must change their passwords. The field can be set to any number between 7 and 365 days. Additionally, on the Users screen (SM201010), the 'Password Never Expires' checkbox is deselected for new users. Some users, like those who are part of an integration or API, can still have the Password Never Expires checkbox manually selected.  

Password-Only Sign-in Issues and Resolutions


You can use the 'Forgot your credentials' link on the MYOB Acumatica login screen to manage your green button password.


Issue Resolution
1. I have forgotten my password

If you’ve forgotten your password, click Forgot your credentials? to start the password reset process. This will either trigger an automatic password reset email.

Remember to ensure that you haven't pre-selected just one tenant before clicking on Forgot your credentials? as it will only reset your credentials in the selected tenant.

2. I seem to sign in successfully, but then I get taken back to the sign-in screen

Try using the purple Secure Authentication button to sign in. If that works, you should use that button to sign in from now on.

3. My API connection is failing 

Error: Your account is locked out. Please contact your system administrator

Ask your site administrator to update the password of the API user profile by selecting RESET PASSWORD on the Users screen in MYOB Acumatica.
Ensure that the chosen password matches the updated password in your connected application and meets the password complexity requirements (see above).
To ensure that your API user is not prompted to sign in for 2FA (secure authentication) login, it is generally recommended that only a Limited or Full API User licence be assigned to your API user profile.  If you wish to set up your API provider with Full User access, we recommend creating a separate profile for that purpose.

4. When I sign in, I can't see all the tenants

This issue usually occurs when your internal (green button) password is not the same in each tenant. 
Sign out of MYOB Acumatica. To fix this:
1. Sign out of MYOB Acumatica. Close the browser.
2. Launch a new browser and go to the login screen.
3. Click the cross to ensure that no Tenant is selected.

4. Click the 'Forgot your credentials' link and follow the prompts to reset your internal password. 
Sign in
5. Sign into MYOB Acumatica again as usual using the (purple) Secure Authentication. All your tenants should now be visible from the dropdown menu in top right of screen. 

5. I am signed out of MYOB Acumatica when I was previously logged in with the following error: You haven't been assigned a licence

Ask your site administrator to increase or remove the 'Max. Number of Concurrent Logins' recorded against your profile on the Users screen and Save.
